Types of Copies Español Requesting Copies Receiving Copies
The Clerk of Courts office will provide copies of requested public court records within a reasonable time. Most copies are produced or sent immediately upon receipt of the request. Research and data programming are not performed.
Types of Copies The three types of copies available: regular, certified, and authenticated.
Regular copies, or photocopies, are available at a cost of $.25 per page in the Clerk of Courts office. However, the journal entries of the court in civil and criminal cases are imaged online. These entries can be printed at no charge from any computer with Internet connectivity to www.butlercountyclerk.org.
Certified copies are copies that are signed by a Deputy Clerk and verified to be true and accurate copies of the original. Certified copies include a certificate stamp and embossed court seal for a cost of $2.00 per page.
Authenticated copies are copies that are required by certain agencies to be exemplified or verified by a Judge of the Court of Common Pleas. The Judge verifies that Cindy Carpenter is the Clerk of Courts, custodian of the original record, and is authorized to authenticate the case file record. The Authenticated copies includes the original signatures of the Judge and the Clerk of Courts. It is embossed with a gold seal of the Court of Common Pleas and the cost is $5.00 per page.
Requesting Copies
Requests for copies can be can be made in person to the Legal Division of the Clerk of Courts office, located on the 5th floor of the Government Services Center, 315 High Street, Hamilton, Ohio 45011. Mail or faxed requests for copies can be made directly to the file room of the Clerk of Courts office by using the Request for Copies form.
Receiving Copies Copy requests received by the Clerk's office will be issued by mail to the individual making the request. If outstanding charges are due, a cost bill for copies will be included in with the requested copies.
